Terms & Conditions
Below are the Terms of Service for each of our services. We may updated our terms from time to time. If we make an important change, existing clients will be notified.
Arts-Based Methods for Evaluators Course What this course is: Arts-Based Methods for Evaluators is a group learning experience for people doing evaluation and research work. It is designed for practitioners who have the prerequisites and experience listed in the course description. You’re responsible for deciding whether you have the foundational skills to take part. We bring our professional and lived experience, but we don’t have the authority to grant accreditation or certification for taking this course. Price and payment: You pay the full registration fee online when you register. Fees are in Canadian dollars, plus applicable tax. If you’re joining from outside Canada, you’re responsible for any taxes that apply in your region. Refunds, transfers, and cancellations No refunds: All registrations are non-refundable, including for change of mind, scheduling conflicts, or inability to attend. If you’re late, miss a session, or leave early, there is no refund or make-up session. Transfers: You can transfer your spot to another person at no extra cost. Email admin@andimplementation.ca with the new participant’s name and email at least 48 hours before the course starts. If we cancel or reschedule: If we cancel the course, you’ll receive a full refund of your registration fee. If we need to move the course to a new date and you can’t attend, you can also request a full refund. A respectful learning space: This course works when everyone feels safe to participate. Disrespectful, discriminatory, or harmful behaviour may result in your removal from the course without a refund. Confidentiality: What participants share in the course stays in the course. If you share examples from your own projects, you’re responsible for making sure you’re allowed to share that information, and for leaving out details that could identify clients or participants. Who owns what: Course materials (slides, handouts, activities) are for your own learning only. You’re welcome to use the methods you learn in your own work. You cannot copy, post, publish, sell, or share the materials themselves, or use them to teach others. This license belongs to you personally and can’t be passed on to anyone else. Our teaching methods and course materials remain our intellectual property. Recordings and AI tools: You can’t record, screenshot, or share any part of a session, including with an AI note-taker, without our written okay. If we’d like to use photos or recordings of the course for our own marketing, we’ll ask your permission first. Your information and privacy: We collect what we need to run the course: your contact details, registration information, and payment details. We use this only to deliver the course and keep it for the length of the course, plus one year afterward. We use Zoom, Wix, and a payment processor to deliver this service, and each has its own privacy rules too. We follow BC’s privacy law (PIPA) and Canada’s privacy law (PIPEDA). Accessibility: You’re responsible for telling us at least two weeks before the course starts if you need accommodations, like accessible materials, access to an interpreter, or a different format, so we can prepare properly. Technology: You’ll need reliable internet, a working camera and microphone, and an up-to-date browser or app. If a technology problem on your end interrupts a session or stops you from participating, there is no refund or make-up session. If something goes wrong: Course content reflects our honest professional judgment and experience. It isn’t legal, financial, or medical advice, and it isn’t a guarantee of specific results. You’re responsible for deciding whether the methods, strategies, and activities fit your practice and context before you use them. We’re not responsible for losses or mistakes that come from decisions you make based on course content. Your responsibility for claims: If a claim, cost, or legal problem ever comes up because of how you use what you learn or the course materials, that’s your responsibility to resolve, including any related costs. Governing law: These terms follow the laws of British Columbia and Canada. If we ever disagree about something serious, we’ll try to work it out in writing first. Changes to these terms: We may update these terms sometimes. If we make an important change, we’ll let you know by email.
Capacity-Building What this service is: Capacity-Building is a hybrid of consulting and coaching. We co-create a data tool, framework, or template with you, and then show you how it was built, so you can adapt it and build the next one yourself. Price and payment: Price is scoped based on the complexity of what we're building together, confirmed in writing before we start. Payment is typically a non-refundable deposit at booking and subsequent installments tied to deliverable or hours used. All fees are in Canadian dollars, plus applicable tax. Invoices are due within 14 days of the date on the invoice. Invoices unpaid after 30 days may result in a late fee of 1.5% per month on the outstanding amount and a temporary pause to service delivery until payment is received. If we pause work because of unpaid invoices, any resulting delays or costs are yours to resolve. Scope: The scope — what we're building, and what your team will walk away knowing how to do — is confirmed in writing before we start. You are responsible for keeping us informed of any emerging or known situations that may result in delays or changes to timeline. This work depends on both of us doing our part. If you don't complete tasks, send materials, or make decisions you've committed to by an agreed date, we're not responsible for any resulting delays or added costs. If you'd like to add something once we've started, we'll agree on it and any added cost or time needed in writing before doing extra work. Active participation: This service works because you're an active partner, not a passive recipient. If you or your team can't participate in the co-creation sessions as planned, we may need to pause to confirm capacity or shift strategies. We may recommend shifting to our Light Touch Consulting arrangement instead and re-quote accordingly. Unused pre-paid hours will roll over at no extra charge to you, for use within 6 months. Meetings and sessions: If you're late, don't show up, cancel, or reschedule with less than 24 hours' notice, meetings booked count as time used and will be charged in full. Staying in touch: We need reasonable, timely communication from you to keep this work moving. This may include answering questions directly or following up once you have required information, responding to emails, and setting aside time to meet at regular intervals. If we don't hear back from you within our agreed upon window, we'll send a reminder. If we still don't hear back, we may pause our work until you respond. Any delay or cost caused by a temporary pause like this is your responsibility. Confidentiality: Everything shared to help us build your tool — your programs, your data, your context — stays private with us. You are responsible for ensuring that you have permission to share information with us. Working with data: If we're helping you build a tool for collecting data — like a survey or interview guide — we build it to reflect responsible, ethical data collection practices. Sometimes learning by doing means working with real data or observing a real interview; if that happens, we treat it with the same confidentiality as everything else in this agreement. Once the tool is built, you're responsible for using it appropriately going forward, including getting proper consent and following your organization's privacy practices. If your organization doesn't have the basic data privacy and storage practices needed to support ethical data collection, we may pause our work together and recommend a separately scoped and priced privacy and consent consultation to help you get ready first. Not subcontracted or ghostwritten work: We build this with you ourselves. This service is always delivered personally by Jennica or Maya, with no outside collaborators. Your information and privacy: We collect what we need — contact details, intake information, documents you share, and payment details — used only to deliver your engagement and kept for up to three years afterward. We follow PIPA (BC) and PIPEDA. Who owns what: The finished tool becomes your organization's property. Our underlying methods and educational content remain our intellectual property. You're welcome to use, adapt, and share this tool however serves your organization — we only ask that you don't present it as something built entirely without our involvement, since it reflects our collaborative work together. Recordings and AI tools: We'll only record a session, including using an AI note-taker, if we both agree first, in writing, each time. We may use AI tools ourselves to help draft a short written summary after your session. Conflicts of interest: Please tell us about anything relevant on your end, as early as possible, so we can identify anything that might affect our objectivity. Insurance: We carry professional liability, commercial general liability, data breach, and key person insurance, along with WorkSafeBC coverage. Certificates of insurance are available upon request. Referencing our work together: We may want to describe this project in a general way — without naming your organization or sharing anything identifying — in things like website content, proposals, or conversations with future clients. If you prefer we never reference this project, even anonymously, tell us in writing. Ending early: Either of us can end the engagement with written notice. You'll be billed for work completed so far, and any amount already paid beyond that is refunded within 14 business days. Hours already spent building a tool that's in progress are not refundable, since that work has already happened. Service interruption: If something on our end — like a serious illness or emergency — stops us from continuing our work together, we'll give you as much notice as possible and look at reasonable options or alternatives. If none are suitable to your needs or we need to end the engagement, we'll refund all fees paid for work not yet completed. If something goes wrong: The tool we build and training provided reflects our honest professional judgment, based on the information and goals you give us. It isn't legal, financial, or medical advice, and it isn't guaranteed to produce a specific result. You're responsible for testing and adapting it before using it with staff or the people you serve. We're not responsible for losses or mistakes that come from decisions you make based on our work together. Your responsibility for claims: If a claim, cost, or legal problem ever comes up because of how you use the tool we build or anything you learned in this process, that's your responsibility to resolve, including any related costs. Technology: Unless otherwise agreed, sessions typically happen online. You'll need reliable internet, a working camera and microphone, and an up-to-date browser or app. Governing law: These terms follow the laws of British Columbia and Canada. If we ever disagree about something serious, we'll try to work it out in writing first. Changes to these terms: We may update these terms sometimes. If we make an important change, we'll let you know by email.
Custom Training What this service is: Custom Training is hands-on professional development for a whole team, built around your real programs, data, and questions. We bring our professional and lived experience, but do not have the authority to grant your team accreditation for their participation. Price and payment: Price depends on the length, number of sessions, level of customization, and deliverables or resources created. We confirm scope, dates, group size, and price in writing before booking is final. Payment is typically a non-refundable deposit at booking and a final payment at or after the training date. Timeline: We ask for at least 3 weeks' notice before your desired training date, so we have time to properly customize the content to your team. Your specific timeline is set out in your written quote. Cancelling, rescheduling, and ending early: No-shows and late changes. If you don't show up, or ask to cancel or reschedule with less than 48 hours' notice, that session is charged in full — your reserved time has already been spent. If a make-up session is needed, it's booked and billed separately. Rescheduling with notice. You can reschedule a session at no extra cost with at least 48 hours' notice, up to 2 times per engagement. If you need to reschedule beyond that, a rescheduling fee will apply. Ending the engagement early. If you decide to stop a multi-session training partway through, you'll be billed for sessions already delivered, plus hours already spent on content development, and any session within the 48-hour notice window above. Any amount paid beyond that is refunded within 14 business days. The non-refundable deposit is not part of this refund. Service interruption: If something on our end — like a serious illness or emergency — stops us from continuing our work together, we'll give you as much notice as possible and look at reasonable options or alternatives. If none are suitable to your needs or we need to end the engagement, we'll refund all fees paid for sessions not yet delivered. Confidentiality: Any real examples, case studies, or documents your team shares with us to help build the training stay private. You're responsible for making sure you're allowed to share this work with us. Not subcontracted or ghostwritten work: This training is delivered personally by Jennica or Maya. If bringing in a collaborator (like an interpreter), we'll raise it and agree on their role with you upfront. Your information and privacy: We collect what we need to prepare and deliver your training — contact details, intake information, documents you share, and payment details. This is used only to deliver your engagement and kept for up to three years afterward. We follow PIPA (BC) and PIPEDA. Who owns what: Training materials we build (slides, handouts, activities) can be used by your team internally, for as long as you like. This license belongs to your organization — it doesn't transfer if staff who received the materials move to a different organization, or if a fiscal sponsor's other programs try to use materials purchased for your team. Materials cannot be resold, taught by someone else as their own, or shared outside your organization under any circumstance. Our training methods, curriculum design, and materials remain our intellectual property. Recordings, photos, and AI tools: We'll only record a training session, including using an AI note-taker, if we both agree first, in writing, each time. If we'd like to take photos during your training for our own marketing, we'll ask your permission first and no photos will be used without consent. Accessibility: Tell us in advance if anyone attending needs accommodations, like accessible materials, access to an interpreter, or a different format, so we can prepare properly. Referencing our work together: We may want to describe this training in a general way — without naming your organization or sharing anything identifying — in things like website content, proposals, or conversations with future clients. If you prefer we never reference this training, even anonymously, tell us in writing. If something goes wrong: Training content reflects our honest professional judgment and experience. It isn't legal, financial, or medical advice, and it isn't a guarantee that your team will achieve specific results. You're responsible for how your team applies what they learn. We're not responsible for losses or mistakes that come from how you use what you learned in training. Your responsibility for claims: If a claim, cost, or legal problem ever comes up because of how your team uses our training content or materials, that's your responsibility to resolve, including any related costs. Technology: For virtual training, you'll need reliable internet, a working camera and microphone, and an up-to-date browser or app for every attendee. Equipment required for in-person training will be agreed upon together. Governing law: These terms follow the laws of British Columbia and Canada. If we ever disagree about something serious, we'll try to work it out in writing first. Changes to these terms: We may update these terms sometimes. If we make an important change, we'll let you know by email.
Data Health Assessment What this service is: A Data Health Assessment is a one-time diagnostic look at your organization's data systems with concrete recommendations and deliverables scoped to your unique needs. This is not a financial, compliance, or regulatory audit, and shouldn't be described as one. Who this is for: We only take on Data Health Assessments that your own organization asks for. We will not accept an assignment where a funder or other outside party hires us to assess your organization without your knowledge or independent agreement. Price and payment: Price depends on size and complexity of your data landscape. We confirm scope and price in writing after a required scoping call, before your booking is final. Payment is typically a deposit at booking and a final payment tied to delivery of the report, though this may also be split by project phases or hours used, depending on scope. Your deposit is non-refundable, unless your signed contract says otherwise. Timeline and Scope: Your specific timeline is set out in your written quote. You are responsible for keeping us informed of any emerging or known situations that may result in delays or changes to timeline. This work depends on both of us doing our part. If you don't complete tasks, send materials, or make decisions you've committed to by an agreed date, we're not responsible for any resulting delays or added costs. We do our best to accommodate changes in timeline but cannot guarantee availability beyond what was initially agreed. If you'd like to add something once we've started, we'll agree on it and any added cost or time needed in writing before doing that extra work. Confidentiality: Everything we learn about your systems and data stays private. Assessment findings are shared only with the person or team you designate — never with a funder or outside party without your written okay. Not subcontracted or ghostwritten work: We deliver this assessment ourselves. If bringing in a collaborator would genuinely help, we'll raise it and agree on their role with you upfront. Your information and privacy: We collect what we need to complete your assessment — contact details, documents, systems information, and payment details. This is used only to deliver your engagement and kept for up to three years afterward. We follow PIPA (BC) and PIPEDA. No software or vendor recommendations: We don't recommend specific software products or vendors. As part of this work, we may assess how well your existing systems fit your data needs and priorities. We have no formal affiliation with any software or technology company, and this work is never influenced by sales, commissions, or incentives. Data practices we won't work with: We won't take on an assessment for an organization that is currently selling or improperly scraping the personal data of the people it serves. If we discover this during our work together, we will stop immediately and end the contract. You will be billed for work already completed; any amount paid beyond that will be refunded pro-rata. Costs related to ending the contract this way are your responsibility. Who owns what: The final report and findings belong to your organization. It cannot be resold or claimed as someone else's original work. Our underlying assessment methods and frameworks stay our intellectual property. Recordings and AI tools: We'll only record a session, including using an AI note-taker, if we both agree first, in writing, each time. We may use AI tools ourselves to help draft a short written summary after your session. Conflicts of interest: Please tell us about anything relevant on your end, as early as possible, so we can identify anything that might affect our objectivity (like a connection to your funders). Insurance: We carry professional liability, commercial general liability, data breach, and key person insurance, along with WorkSafeBC coverage. Certificates of insurance are available upon request. Referencing our work together: We may want to describe this assessment in a general way — without naming your organization or sharing anything identifying — in things like website content, proposals, or conversations with future clients. If you prefer we never reference this assessment, even anonymously, tell us in writing. Ending early: Either of us can end the assessment with written notice. You'll be billed for work completed so far, and any amount already paid beyond that is refunded within 14 business days. Service interruption: If something on our end — like a serious illness or emergency — stops us from continuing our work together, we'll give you as much notice as possible and look at reasonable options or alternatives. If none are suitable to your needs or we need to end the engagement, we'll refund all fees paid for work not yet completed. If something goes wrong: Our findings and recommendations reflect our honest professional judgment, based on the information and access you give us. They aren't legal, financial, or medical advice. You're responsible for deciding how to act on our recommendations. We're not responsible for losses or mistakes that come from decisions you make based on our findings. Our job includes telling you what we find, even when it's hard to hear. You agree we're not responsible for what happens next — including funding, compliance, or other decisions made based on accurate findings or recommendations. Your responsibility for claims: If a claim, cost, or legal problem ever comes up because of how you use our findings or recommendations, that's your responsibility to resolve, including any related costs. Technology: Unless otherwise agreed, sessions typically happen online. You'll need reliable internet, a working camera and microphone, and an up-to-date browser or app. You are responsible for informing us about the location of your data and providing access for the purpose of assessment activities. Governing law: These terms follow the laws of British Columbia and Canada. If we ever disagree about something serious, we'll try to work it out in writing first. Changes to these terms: We may update these terms sometimes. If we make an important change, we'll let you know by email.
Data Strategy Office Hours What this service is: Data Strategy Office Hours is drop-in expert support facilitated through conversation. You bring a question, and we work through it together in one-hour sessions. We don't build tools, write reports, or produce deliverables in this service. Price and payment: You buy a bundle of sessions (3, 6, or 9 hours) and pay in full online at the time of booking. Prices are in Canadian dollars and shown clearly at checkout, including any tax. Your bundle is valid for 12 months from your purchase date. Expired bundles are not refunded. Booking and cancelling: Book each session at least 48 hours ahead. You can cancel or reschedule for free up to 24 hours before your session. Cancelling with less notice or not showing up results in an hour deducted from your bundle. If we need to reschedule, you will not be penalized. Staying in touch and using your bundle: You're responsible for scheduling and using your sessions within your bundle's 12-month window. We are not responsible for reminding you to use remaining sessions before the bundle's expiry, and delays or cancellations on your end don't extend that window. Confidentiality: What you bring to a session stays private. We won't share it with anyone else unless required by law. Your information and privacy: We only collect what we need to run your sessions — your contact details, your intake form answers, and payment information. We keep this for up to three years after your last session, then delete it. We use Zoom, Teams, Wix, and a payment processor to deliver this service; each has its own privacy rules too. You can ask us to delete your personal information in writing at any time, and we'll do it within 30 days. We follow BC's privacy law (PIPA) and Canada's privacy law (PIPEDA). Who owns what: Any ideas, notes, or informal templates we mention in a session are yours to use. Our own methods, frameworks, and ways of working stay ours. These aren't formal deliverables, and shouldn't be presented as a report or endorsement from us. Recordings and AI tools: We'll only record a session, including using an AI note-taker, if we both agree first, in writing, each time. A "yes" for one session doesn't carry over to the next one. We may use AI tools ourselves to help draft a short written summary after your session. Conflicts of interest: Please tell us about anything relevant on your end, as early as possible, so we can identify anything that might affect our ability to give you unbiased advice (like a connection to one of your funders or partners). Insurance: We carry professional liability, commercial general liability, data breach, and key person insurance, along with WorkSafeBC coverage. Certificates of insurance are available upon request. Referencing our work together: After our sessions, we may want to describe our work together in a general way — without naming your organization or sharing anything that could identify you — in things like website content, proposals, or conversations with future clients. If you prefer we never reference our work together, even anonymously, tell us in writing. Personal delivery: This service is delivered personally by Jennica or Maya. We don't hand your sessions off to anyone else. Ending early: Either of us can end our working relationship at any time by telling the other in writing. If you have unused hours left in your bundle, we'll refund those hours pro-rata within 14 business days. Service interruption: If something on our end — like a serious illness or emergency — stops us from continuing our work together, we'll give you as much notice as possible and look at reasonable options or alternatives. If none are suitable to your needs or we need to end the engagement, we'll refund all fees paid for any unused hours in your bundle. If something goes wrong: What we tell you in a session is our honest professional opinion at the time, based on what you've shared with us. It isn't legal, financial, or medical advice. You're responsible for deciding whether our advice and co-created strategies fit your situation before you act. We're not responsible for losses or mistakes that come from decisions you make based on our advice. Your responsibility for claims: If a claim, cost, or legal problem ever comes up because of how you use what we discuss in these sessions, that's your responsibility to resolve, including any related costs. Technology: Sessions happen online. You'll need reliable internet, a working camera and microphone, and an up-to-date browser or app. If tech problems on your side keep interrupting sessions, we may ask you to fix them before your next booking. Governing law: These terms follow the laws of British Columbia and Canada. If we ever disagree about something serious, we'll try to work it out in writing first. Changes to these terms: We may update these terms sometimes. If we make an important change, we'll let you know by email. Using the service after that means you're okay with the update.
Evaluation Project What this service is: An evaluation project is our full-service, bundled offering. It is scoped from a single program review to a multi-year, organization-wide evaluation, using qualitative, quantitative, and arts-based methods. Evaluations can align with your own organization's priorities, your funder's mandated accountability requirements, or a mix of both. Price and payment: Your price and payment schedule are set out in a signed contract or proposal. Payment is typically a deposit at signing, followed by payments tied to project phases, milestones, or hours used. Your deposit is non-refundable, unless your signed contract says otherwise. All fees are in Canadian dollars, plus applicable tax. Invoices are due within 30 days of the date on the invoice. If payment is more than 14 days overdue, a late fee of 1.5% per month applies to the outstanding amount, and service delivery may be temporarily paused until payment is received. If we pause work because of unpaid invoices, any resulting delays or costs are yours to resolve. Timeline and scope: The timeline is set out in your signed contract. You are responsible for keeping us informed of any emerging or known situations that may result in delays or changes to timeline. This work depends on both of us doing our part. If you don't complete tasks, send materials, or make decisions you've committed to by an agreed date, we're not responsible for any resulting delays or added costs. If you ask for something beyond the agreed scope, we confirm the added work and cost in writing before starting. Collecting data: If we collect data from your staff, program participants, or community members as part of this project, we agree in writing, before collection starts, on how consent takes place, how that data is stored, who can see it, and what happens to the data after the project ends. If you require raw data to be transferred back at the end of the project, we may require access to your existing consent, data storage, and privacy policies first to confirm appropriate data transfer. If you do not have existing policies or processes that support ethical data handling, we may recommend starting with a separately scoped and priced step to create necessary data safeguards. Confidentiality: Everything shared during this project (program data, internal documents, staff information) stays private. We won't share it outside the individual or team you designate, except as required by law. You are responsible for ensuring that you have permission to share information with us. Not subcontracted or ghostwritten work: We deliver this project ourselves. If bringing in a trusted collaborator would genuinely help (e.g., a methods specialist, multilingual facilitator, or subject matter expert) we raise it with you and agree on their role and scope together, upfront, before they're ever involved. Your information and privacy: We collect what we need to deliver this project — contact details, contract details, program data, and payment information. This is used only to deliver the project and kept for up to three years after it ends, unless your contract sets a different retention period for participant data. We follow PIPA (BC) and PIPEDA. Who owns what: The final report and any other deliverables agreed upon in the planning stage become your organization's property. Reports and knowledge products carrying AND's name, including all findings and data, may not be altered in any way after delivery. Our underlying evaluation methods, tools, and frameworks stay our intellectual property. Raw data collected from participants is handled according to the data terms in your signed contract. Recordings and AI tools: We'll only record a session, including using an AI note-taker, if we both agree first, in writing, each time. We may use AI tools ourselves to help draft a short written summary after your session. Conflicts of interest: Please tell us about anything relevant on your end, as early as possible, so we can identify anything that might affect our objectivity, like a connection to your funders or board members. Insurance: We carry professional liability, commercial general liability, data breach, and key person insurance, along with WorkSafeBC coverage. Certificates of insurance are available upon request. Referencing our work together: We may want to describe this project in a general way (without naming your organization or sharing anything identifying) in things like website content, proposals, or conversations with future clients. If you prefer we never reference this project, even anonymously, tell us in writing. Ending early: Either of us can end the project with written notice. You'll be billed for milestones already completed, and for any other work already underway, even if that work hasn't yet produced a finished deliverable. Any amount already paid beyond that is refunded within 30 business days. Work-in-progress tools and documents that do not contain raw data, such as partial reports, surveys, or interview guides, will be handed over in their current state. Raw participant data collected with a consent process that promised anonymity will not be returned. This data will be stored and securely destroyed 3 years from the date of project termination, in line with our privacy policy. If a summarized and de-identified version of this data was agreed upon in our original contract, we will complete the data cleaning and de-identification process as part of the project wrap-up and hand-off. If this was not an agreed-upon deliverable, we can prepare data for transfer at an added cost, invoiced separately. Raw data collected with a consent process that included client access will be de-identified to the extent agreed upon in the contract and returned. Service interruption: If something on our end — like a serious illness or emergency — stops us from continuing our work together, we'll give you as much notice as possible and look at reasonable options or alternatives. If none are suitable to your needs or we need to end the engagement, we'll refund all fees paid for milestones not yet completed. If something goes wrong: Our findings and recommendations reflect our honest professional judgment, based on the information and access you give us. They aren't legal, financial, or medical advice, and don't guarantee a specific funding, program, or organizational outcome. You're responsible for deciding how to act on our findings. We're not responsible for losses or mistakes that come from decisions you make based on our work together. Our job includes reporting what we find, even when it's hard to hear. You agree we're not responsible for what happens next — including impacts on funding, compliance, or other decisions made by you or a third party based on accurate findings or recommendations. Your responsibility for claims: If a claim, cost, or legal problem ever comes up because of how you use our findings, recommendations, or any deliverable from this project, that's your responsibility to resolve, including any related costs. Technology: Unless otherwise agreed, sessions typically happen online. In-person data collection, such as site visits or facilitated sessions, is confirmed as part of your agreed scope. Governing law: These terms follow the laws of British Columbia and Canada. If we ever disagree about something serious, we'll try to work it out in writing first. Changes to these terms: We may update these terms sometimes. If we make an important change, we'll let you know by email.
Evaluation/Research Advising What this service is: Evaluation/Research Advising is peer-level technical support facilitated through conversation, for evaluators, researchers, and internal data staff who want a sounding board, not a subcontractor. We help you think through methodological, ethical, or design questions. We don't complete tasks for you, write your report, or produce anything that goes out under your name. Who this is for: This service is for people doing evaluation or research work, working solo or on a small team. It's not for students completing an academic program (like a thesis or dissertation) — we don't act as a substitute for an academic supervisor or committee. This is not a replacement for or comparable to a community advisory committee. Confidentiality: Everything you share about your project — including details about clients, project data, or important context — stays private with us. You're responsible for making sure you're allowed to share information in line with your project's ethics protocol and any non-disclosure agreements that may be in place. Not sub-contracting: This is advice, not labour. We won't complete parts of your project for you so that you can bill it to your own client as your own work. Who owns what: Any feedback, ideas, or informal suggestions we give you are yours to use in your project. Our own methods and frameworks stay ours. Any conceptual work we do together that results in a publication, training materials, or knowledge products for sharing or resale must be discussed ahead of time to agree on attribution or authorship. Recordings and AI tools: We'll only record a session, including using an AI note-taker, if we both agree first, in writing, each time. A "yes" for one session doesn't carry over to the next one. We may use AI tools ourselves to help draft a short written summary after your session. Conflicts of interest: Please tell us about anything relevant on your end, as early as possible, so we can identify anything that might affect our objectivity (like a connection to your project's funders or partners). Insurance: We carry professional liability, commercial general liability, data breach, and key person insurance, along with WorkSafeBC coverage. Certificates of insurance are available upon request. Referencing our work together: We may want to describe our advising relationship in a general way — without naming you or your project — in things like website content, proposals, or conversations with future clients. If something goes wrong: What we tell you in a session is our honest professional opinion, based on what you've shared with us. It isn't legal, financial, or medical advice, and it isn't a guarantee of a specific outcome for your project. You're responsible for the final decisions you make in your own project. We're not responsible for losses or mistakes that come from decisions you make based on our advice. Your responsibility for claims: If a claim, cost, or legal problem ever comes up because of how you use our advice or feedback in your project, that's your responsibility to resolve, including any related costs.
Light Touch Consulting What this service is: Light Touch Consulting is a fully unbundled, deliverable-only engagement. You tell us the gap; we scope, build, and hand back a specific tool or product. Price and payment: Price is scoped based on your deliverable, timeline, and complexity, confirmed in writing before we start. Payment is typically a deposit at booking and a final payment tied to delivery. Your deposit is non-refundable. Getting ready before we start: You'll need clear guiding questions or goals for what you want built. If you're not there yet, we offer a short, paid scoping session first to help get you ready. Scope and changes: The scope is confirmed in writing before we start. You are responsible for keeping us informed of any emerging or known situations that may result in delays or changes to timeline. This work depends on both of us doing our part. If you don't complete tasks, send materials, or make decisions you've committed to by an agreed date, we're not responsible for any resulting delays or added costs. If you'd like something added partway through, we'll agree on it and any added cost or time needed in writing before doing that extra work. Working with data: If your project involves us analyzing data your organization already collected, we complete a data quality review first. This is a required, separately scoped and priced step, before we move to analysis. If your project requires us to collect new data, we require access to your existing consent, data storage, and privacy policies first before anything is collected. If you do not have existing policies or processes that support ethical data handling, we may recommend starting with a separately scoped and priced step to create necessary data safeguards. Confidentiality: Everything you share with us to build your deliverable stays private. You are responsible for ensuring that you have permission to share information with us. Not subcontracted or ghostwritten work: We build your deliverable ourselves. If bringing in a collaborator would genuinely help, we'll raise it and agree on their role with you upfront. Your information and privacy: We collect what we need — contact details, project details, documents you share, and payment details — used only to deliver your engagement and kept for up to three years afterward. We follow PIPA (BC) and PIPEDA. Who owns what: The finished deliverable becomes your organization's property. Our underlying methods stay our intellectual property. Service interruption: If something on our end — like a serious illness or emergency — stops us from continuing our work together, we'll give you as much notice as possible and look at reasonable options or alternatives. If none are suitable to your needs or we need to end the engagement, we'll refund all fees paid for work not yet completed. If something goes wrong: The deliverable reflects our honest professional judgment, based on the information and goals you give us. It isn't legal, financial, or medical advice, and isn't guaranteed to produce a specific result. You're responsible for reviewing and testing it before using it in your desired context. We're not responsible for losses or mistakes that come from decisions you make based on our work together or the implementation and use of any deliverables created in this process. Your responsibility for claims: If a claim, cost, or legal problem ever comes up because of how you use the deliverable we build, that's your responsibility to resolve, including any related costs.
Organizational Learning Partner What this service is: Organizational Learning Partner is an ongoing, coaching-style partnership facilitated through conversation and co-creation sessions. We work with your leadership team over time to build lasting organizational learning systems, which may include conceptual strategy work and tangible deliverables. We may help guide or inform your decision-making, but we don't make decisions on your organization's behalf, get involved in day-to-day operations, or act in any capacity as an employee. Price and payment: Your price and payment schedule are set out in a written proposal before we start, based on the scope we agree on together. Typically, this means a deposit when you sign, followed by payments tied to project phases, milestones, or hours used. Your deposit is non-refundable, unless your signed contract says otherwise. All fees are in Canadian dollars, plus applicable tax. Timeline: The timeline for our work together is set out in our written proposal or work plan. You are responsible for keeping us informed of any emerging or known situations that may result in delays or changes to timeline. We do our best to accommodate changes in timeline, but cannot guarantee availability beyond what was initially agreed. Project extensions can be added at any time with written agreement by both parties. Scope and changes: We confirm the scope of our work together in writing before we start. If your needs grow during our partnership — for example, toward a full evaluation — we'll tell you and put together a new quote for that additional work, rather than quietly expanding what we're doing. Scheduling and responsiveness: Standing sessions are booked in advance, on a schedule we agree together. If our team's ability to move forward depends on your team completing agreed tasks between sessions, and those tasks are seriously delayed, we may need to adjust the project timeline. Confidentiality: Everything shared during our partnership stays private. We won't share it outside your organization unless required by law. Not subcontracted or ghostwritten work: We deliver this service ourselves. If bringing in a collaborator would genuinely help your project, we'll raise it with you and agree on their role together before they're ever involved. Your information and privacy: We collect the information needed to run this partnership — contact details, session notes, documents you share, and payment information. This is used only to deliver your engagement and kept for up to three years after we finish working together. We follow PIPA (BC) and PIPEDA. Who owns what: Any maps, frameworks, or reports we build together become your organization's property. They cannot be resold or claimed as someone else's original work. Our underlying methods and approaches stay our intellectual property. Recordings and AI tools: We'll only record a session, including using an AI note-taker, if we both agree first, in writing, each time. We may use AI tools ourselves to help draft a short written summary after your session. Conflicts of interest: Please tell us about anything relevant on your end, as early as possible, so we can identify anything that might affect our objectivity (like a connection to your funders or board members). Insurance: We carry professional liability, commercial general liability, data breach, and key person insurance, along with WorkSafeBC coverage. Certificates of insurance are available upon request. Referencing our work together: We may want to describe this partnership in a general way — without naming your organization or sharing anything identifying — in things like website content, proposals, or conversations with future clients. If you prefer we never reference this partnership, even anonymously, tell us in writing. Ending early: Either of us can end the partnership with written notice. You'll be billed for the work completed so far, and any amount already paid beyond that is refunded within 14 business days. If something goes wrong: Our guidance reflects our honest professional judgment, based on the information you give us. It isn't legal, financial, or medical advice. You're responsible for testing and adapting anything we build before using it. We're not responsible for losses or mistakes that come from decisions you make based on our guidance. Your responsibility for claims: If a claim, cost, or legal problem ever comes up because of how you use our guidance or anything we build together, that's your responsibility to resolve, including any related costs. Technology: Unless otherwise agreed, sessions typically happen online. You'll need reliable internet, a working camera and microphone, and an up-to-date browser or app. Governing law: These terms follow the laws of British Columbia and Canada.
